| SALSA HOLIDAY TERMS & CONDITIONS |
1- SALSA PROGRAMME: • All Salsa programmes and excursions provided and organised by Explore Latin Carib Ltd is fully protected under ATOL#9567. • All Salsa programme and excursions NOT provided and NOT organised by Explore Latin Carib Ltd will no be cover for protection under Explore Latin Carib Ltd ATOL#9567. Explore Latin Carib Ltd will only cover the services that Explore Latin Carib Ltd provides (For example: Flight, Hotel, Transport, Visa, and any Programme or excursion organised by Explore Latin Carib Ltd). Any other dance programme and excursion during the Salsa holiday will have to be financially protected by the Salsa holiday promoter that is providing it and organising it, Explore Latin Carib Ltd shall not be held responsible for this programme or services NOT organised and NOT provided by Explore Latin Carib Ltd. Therefore if the programme and excursions are provided and organised by the Salsa holiday promoter separately of the Travel services and NOT by Explore Latin Carib Ltd the price shown to the customers in promotional materials like leaflets, web pages, banners, etc, CANNOT be sold as a package and will have to be sold separately from the Travel Services. Explore Latin Carib Ltd ATOL#9567 can only be displayed with a proper description of what is been covered by Explore Latin Carib Ltd. |
| 2- TRAVEL SERVICES: Travel services are operated by Explore Latin Carib Ltd. All travel services provided and organized by Explore Latin Carib Ltd are fully protected under ATOL#9567. |
| 3- FLIGHTS: Flights are subject to booking conditions. When a flight booking has been made and money received we shall issue you an ATOL receipt. A contract will exist between the client and Explore Latin Carib Ltd once we issue a confirmation invoice. |
| 4- FINANCIAL SECURITY: The European Community (EC) package Travel, Package Holiday and Package Tour/ground Packages Regulations 1992 state that all client's money must be fully protected. Our clients can be rest assured that Explore Latin Carib Ltd is licensed with the Civil Aviation Authority under ATOL#9567. |
| 5- RESERVATIONS: To make a reservation just call 0870 432 6500 and speak to our Explore team. Deposit of the Holiday/programme you are interested in (minimum £150, deposit follow within 48 HOURS of reservation). Explore Latin Carib Ltd will then send you a written confirmation and a receipt (by email). Because of the popularity of some Holidays/programmes they are liable to be booked up fairly quickly. It is in the client's interest to book early to avoid disappointment. Bookings are welcome up to the last minute together with full payment. Please contact Explore Latin Carib Ltd for details of availability. |
| 6- PAYMENT: The balance for all bookings must be paid 12 weeks before the holiday is due to commence. The client will be sent an invoice showing monies paid and the balance due for the holiday/programme chosen; if the said balance is not paid within the time period given,the booking will be cancelled and client's deposit lost. Payment should be made by cheque and made out to Explore Latin Carib Ltd . Please note that Explore Latin Carib Ltd will not accept part payment of deposits or balances, nor post-dated cheques. After receipt of balance Explore Latin Carib Ltd will send to the client(s) written confirmation of all monies paid, along with advisory note and other additional information of interest for the client. |
7- CANCELLATIONS: Any cancellation must be in writing and signed by whoever signed the original booking form. It will take effect on the day Explore Latin Carib Ltd receives it. In the event of clients cancelling booking the following scale of charges will apply. | 8- CANCELLATION BY US: If it becomes necessary that Explore Latin Carib Ltd have to cancel a particular holiday, whether it be through insufficient reservations or natural disasters at the destination, political crisis or other events which amount to force major, then all deposits and other payments will be refunded in full. |
| 9- INSURANCE: It is a condition of booking that all clients must take out adequate holiday insurance. Although you are free to purchase a policy wherever you wish, as long as Explore Latin Carib Ltd receives a copy and deem it to be adequate. If traveling on more than one holiday within a 12-month period the clients will need annual travel insurance. |
10- PASSPORTS AND VISA REQUIREMENTS: It is the clients responsibility to ensure that they have a valid passport and where necessary a visa. Client’s passport should be valid for at least six months after the duration of the holiday. Explore Latin Carib Ltd accepts no responsibility for client's failure to comply with these regulations. One clients holds their visas, it is clients responsibility to fill up the visa (tourist card) correctly, There will be a cost of £25.00 purchable at the Airport to cover the replacement of lost or wrongly filled in visas. |
| 11- HEALTH AND VACCINATIONS: The clients will be given recommendations as to any immunisation requirements, malaria risk or health certificates. It will be client’s sole responsibility to comply with these health regulations. All costs arising out of failure to comply must be met at your own expense. It cannot be emphasised enough that if you do have a health problem or physical limitation, we need to know about it so we can be prepared in the case of an emergency. |
| 12- RESTRICTIONS ON PARTICIPATION: It is Explore Latin Carib Ltd aim to take small groups on programmes that are fairly relaxed and do not normally entail very much strenuous activity; if on occasions this cannot be avoided it will be made perfectly clear in the holidays itinerary. To maximise client's holidays and most probably avoid overheating in tropical destinations, some tours will require early morning starts and possibly late returns. It will be necessary for participants to be able to complete moderate walks over a variety of terrain. Small groups call for consideration from all participants so that we may all enjoy the holiday. Any antisocial behaviour that could be detrimental to the enjoyment of a programme by the other group members shall be deemed to be unacceptable. If after complaints from other programme members the leader finds any person still unable to conduct him or her in a manner seen fit, then they reserve the right as tour leader to send them home at their own expense. | 13- PROGRAMMES ALTERATIONS: Circumstances can change, i.e. weather conditions, transport, and political situations; even species migration in case of bird watching tours. Because of this the leaders reserves the right to change an itinerary if they feel it necessary or beneficial to the participants. If major changes are foreseen before the commencement of a programme; Explore Latin Carib Ltd will inform clients in writing, after this; clients have the option to continue or to cancel. If clients decide to cancel their programme then clients will be refunded in full. If an itinerary has to be changed by the leader while clients are on the holiday then clients must respect the professional decision in this matter. |
| 14- GROUP SIZES: Most of our special tours are developed in natural environments and clients expect to enjoy their holidays to the full in small groups. This allows for more personal attention and better opportunities for all group members to see and enjoy the wildlife, the natural environment, Culture, History, outdoor activities, etc. Explore Latin Carib Ltd has restricted clients to a maximum of around 16-28 in a group and a minimum of 2-6 clients for the programmes (see details below). With less than the specified amount of clients for each case the programme may be cancelled. |

| If it is necessary to cancel a particular programme due to insufficient reservations, Explore Latin Carib Ltd will inform the clients 5 weeks prior departure and will suggest other dates in similar period with enough bookings. If any client insists to travel in spite of the specified minimum of clients is not reached, then a supplement may apply. |
| 15- ACCOMMODATION: Occasionally some destinations, and especially third world countries, may mean us having to stay in more basic accommodation so as to get the best from some programme like the bird watching, hiking, trekking, adventure and others. In these instances it will be stated within the holiday's itinerary. Explore Latin Carib Ltd will always try to accommodate clients who request single rooms, but this is not always possible, and if you are a single traveller who is prepared to share a twin room then Explore Latin Carib Ltd will do our best to find you a compatible room-mate. If this is not possible, or if you are not prepared to share then a single room supplement may apply. |
| 16- MEALS: Clients will find which meals are included within the programme price under each itinerary. Note that most programmes are fully inclusive of all meals including; picnic and lunches. The choice and variety of eating establishments means clients can budget to their own needs, and hence the programme remains very competitively priced. Explore Latin Carib Ltd choices of hotels and restaurants offering good quality food show how dedicated we are to providing clients with a top quality programmes. Please advise us of any special dietary needs at time of booking. |
| 17- ITINERARIES: Explore Latin Carib Ltd and other Companies; have put a lot of thought and ground work into these programmes so as we get the most out of each area visited. It is our aim to provide you, which the best possible overall experience. We will take time to appreciate and savour each area visited, often combining spectacular scenery with just as spectacular wildlife, culture, history, activities, etc. Our itineraries are designed to let you see as many places, cities and species as possible within the particular areas visited. An emphasis will be put on finding and seeing well, interesting or speciality species, all at an enjoyable pace and also experience the adventure within the most pristine environments. It is very important to Explore Latin Carib Ltd that all our clients come home from their programmes with wonderful memories of new places, new friends made and knowledge of wildlife, culture, history and friendly people. |
| 18- PROGRAMMES INFORMATION: After Explore Latin Carib Ltd have receive clients final balance for their holiday, they will be sent additional information regarding meeting points, currency, clothing, names of your fellow travelers, recommendations, and any other relevant details. |
19- SURCHARGES: The price of each tour is calculated well in advance, and unexpected cost increases can sometimes occur. Explore Latin Carib Ltd reserves the right to increase the price of the programmes subject to increases in the following items: governmental action, aircraft fuel, over-flying charges, airport and transport charges. SALSA PROGRAMMES SURCHARGES: All optional extras for example: sight seeing, going to clubs ect will be payable locally ( Unless we specify in the programme). |
| 20- LIABILITY: Explore Latin Carib Ltd have taken all reasonable steps to ensure that all our programmes have been properly arranged. The flights, vehicle hire, hotels and restaurants are all reputable. Explore Latin Carib Ltd will accept liability as a direct result of negligence or breach of contractual duty in making arrangements for clients, including omissions by our agents. Explore Latin Carib Ltd will not accept liability for claims arising out of carriage by sea. Explore Latin Carib Ltd also not accept liability for matters such as losses or additional expenses incurred as a result of transport delays, sickness, weather, strikes, war or other political crises, acts of god or other events which amount to force major. |
| 21- YOUR RESPONSIBILITY TO US: It is your responsibility to ensure that you arrive in good time to board all flights or other method of transport. If you miss a flight or other transportation Explore Latin Carib Ltd will try to arrange alternative transportation, but Explore Latin Carib Ltd reserve the right to recover from you any costs Explore Latin Carib Ltd incur in making such arrangements. Payment may be required from you before boarding. |
| 22- COMPLAINTS: In the unlikely event that clients have cause to complain clients should notify at least one of your party leaders as soon as possible in order that we may assist them. If you are not satisfied there and then, you should write to us stating the nature of the complaint within 14 days of the completion of the holiday. |
| 23- TRAVEL ADVICE: The Foreign & Commonwealth office may have issued information about your Holiday/programme destination. Explore Latin Carib Ltd advised you to check this information on the Internet under the address http://www.fco.gov.uk/. |
24- AIRPORT TAXES : There are some destinations in which you may need to pay an Airport departure Tax (For example: Cuba(25 CUC), this is payable locally and it will be require to leave the country, Explore Latin Carib Ltd is not responsable for this Airport Tax. |
| 25- PROTECTING YOUR INFORMATION: To process your booking and to ensure that your travel arrangements run smoothly and meet your requirements Explore Latin Carib Ltd need to use the information you provide such as name, address, and special needs/dietary requirements etc. Explore Latin Carib Ltd takes full responsibility for ensuring that proper security measures are in place to protect your information. Explore Latin Carib Ltd must pass the information on to the relevant suppliers of your travel arrangements such as airlines, hotels, transport companies etc. The information may also be provided to security companies, public authorities such as customs/immigration if required by them, or as required by law. Explore Latin Carib Ltd will hold your information, where collected by us, and may use it to inform you of offers in the future or to send you brochures. If you do not wish to receive such approaches in the future, please let Explore Latin Carib Ltd know. |
| 26- CONTRACTS: When clients sing the booking form the clients are entering into a contract made with Explore Latin Carib Ltd, this means that clients agree to accept all the terms and conditions of booking, Explore Latin Carib Ltd written confirmation of your booking means that we agree to operate client’s holiday. The contract is governed by English law and is subject to the exclusive jurisdiction of the English courts. |
